Property Manager is designed to be a management tool, not just an accounting system. Yet the accounting features are very strong. By simply doing normal bookkeeping, it is easy to do such things as track past due rents, document payment histories, track losses due to vacancies, print income statements,balance sheets and other financial statements, and do year end 1099's.Property Manager's advanced data management features allow you to group your data and reports according to how you want to see them, such as aconsolidated cash flow statement of five properties owned by a single owner,individual balance sheets on three separately owned properties, over-due rents on all properties of a particular owner, or tenants statements on tenants with credit balances. But Property Manager is more than an accounting application. It also has a built-in calendar and word processor. The calendar allows you to create "calendar entries" such as maintenance work,lease expirations, tenant move-ins, rent increases, appointments, telephone calls, or anything else you may need to get done at a future date.

The word processor has a big advantage over the one you use right now.It can directly access the information in Property Manager. This means that you can easily send out communications such as rent increase and maintenance notices to tenants, year end congratulations to owners, or work orders to maintenance personnel

Property Manager helps you keep track of your communications as well.After each letter, a calendar entry can be created (if you like) to note when the item was sent.

Property Manager is so easy to use, you can begin managing your properties effectively from Day One. Enter in your properties and units, assign your tenants, then start writing checks, receiving rents, scheduling move-indates or even creating purchase orders. Checks are filled out directly on screen, as are receipts, charges, purchase orders & invoices, andthey look just like they would on paper.

Vendors can be created on-the-fly, so you simply pay bills as they come.Property Manager supports many Mac compatible printers, so printing checks is a snap. Controls are available for printing checks (or any document,for that matter) as a batch, or immediately after writing. You can even print a label or envelope for your transaction.

Analyzing your results is just as easy. All of the reports are alreadyset up for you. Financial reports can be run at any time, and any two time periods can be compared on the same report, and any report can be run based on any property, grouping of properties or the entire portfolio of properties either with the totals consolidated on a single report or separated by property.

Automate to Reduce Errors and Wasted Time

Property Manager has many features that will help you automate your management tasks, so that you can avoid mistakes and spend less time withthe more tedious aspects of business. Many of your regular transactions can be set up to happen in a batch, such as applying rent and late payment charges every month to your tenants.

It is even smart enough to know which units are vacant. Scheduled checks to mortgage lenders, utility companies, on-site managers and others can be set up to happen on command whether they occur daily, monthly, yearly or anywhere in between. Yet you retain full control, because nothing happens without your direct command. If you manage properties that have charges split among units (such as utilities), each unit will automatically take its percentage of the whole charge when it is paid. And if you have multiple tenants within a particular unit, each tenant can be charged the correct percentage automatically and without direct effort.


Manage Your Activities Too

Property Manager has excellent activity scheduling features as well.You can make reminders that pop up immediately when you launch PropertyManager on the day they are due. You can schedule appointments to show a unit to tenants, sign their lease, move them in, set a reminder for yourself for when their lease will expire, or move them out. Or, you can schedule maintenance work, special bills to be paid, mailings to go out, and telephone calls to be made.

Each activity can be attached to any of the database entries, such astenants, units, owners, etc. By attaching activities to a tenant, for example,all activities related to that tenant can be looked up simply by clicking on the "Activities" icon on that tenant's information card.

Get the Information You Need

The biggest payoff of using Property Manager is access to the information that you need quickly. Bank account balances are available with a mouse click, and tenant status' are shown on each tenant's information card.Detailed, item by item inquiries are easily available for bookkeeping accounts,tenants and vendors.

Icons on each window allow you to jump quickly from one piece of informationto a related piece of information. Plus, each list, such as the Tenant List, has a number of sophisticated "Find" features that willallow you to find any piece of information in your data that you may need.

The Financial and Management reports provide you with a complete viewof your management activities and results.
